Chesapeake Sub-District Volunteer Coordinator

FIRST Chesapeake | Hybrid- Maryland, Virginia, DC | Stipend Volunteer Position

Regions: South West Virginia, Central Virginia, Northern Virginia, Eastern Virginia, Western Maryland, Eastern Maryland

Hours: 5 to 10 hours per week

Compensation: $2,500 Annual Stipend ($833 August 1, $833 January 1, $834 May 1)

Job Overview:

The Sub-District Volunteer Coordinator plays a vital role in recruiting, managing, and coordinating volunteers for local events within the FIRST program. This individual will work closely with District Volunteer Coordinator, Program Directors, District Volunteer Leads, and Planning Committees to ensure effective volunteer engagement and a seamless event experience. The position requires a commitment of 5 to 10 hours per week, with some flexibility for weeknight and weekend work.

Responsibilities:

Recruitment:

  • Coordinate with onsite Event Volunteer Coordinator to recruit volunteers for local events.
  • Utilize FIRST’s Volunteer Management System (VMS) to recruit and assign volunteers to local events in conjunction with the Event Volunteer Coordinator.
  • Use traditional methods and social media to increase community engagement and volunteer education through outreach to individuals, civic organizations, tech councils, etc.

Management:

  • Work with program directors and District Volunteer Coordinator to administer volunteer training as needed, including some weeknight and weekend work.
  • Create volunteer emails highlighting event content and role information.
  • Assign volunteers to appropriate roles based on their skills, interests, and event needs using the Volunteer Management System (VMS).
  • Answer questions about volunteer roles, event expectations, and other volunteer related information in a timely manner.
  • Ensure volunteers have a clear understanding of their responsibilities and expectations.
  • Ensure event volunteers are properly trained, and certified, and undergo Youth Protection Program (YPP) screening before events.
  • Communicate regularly with Planning Committees, including Lead/Key Volunteers, through email updates and meetings as needed.
  • Maintain accurate records of volunteer information, roles, schedules, and feedback to facilitate better coordination and future improvements.
  • Follow all guidelines outlined in FIRST data protection and privacy training.
  • Update and retain records of leads and volunteers using FIRST Chesapeake’s CRM.

Qualifications:

  • Previous experience in volunteer coordination or management.
  • Strong organizational and communication skills.
  • Ability to work collaboratively with diverse teams and stakeholders.
  • Familiarity with FIRST programs is a plus.
  • Proficient in using Salesforce or similar database systems.
  • Flexibility to work some weeknights and weekends during peak seasons.
