Chesapeake District Volunteer Coordinator

FIRST Chesapeake | Hybrid- Maryland, Virginia, DC | Stipend Volunteer Position

Hours: 5 to 10 hours off-season (May through August) + 10-15 hours on-season (September through April) weekly

Compensation: $7,500 Annual Stipend ($2,500 August 1, $2,500 January 1, $2,500 May 1)

Job Overview:

The District Volunteer Coordinator is a key role within FIRST Chesapeake, responsible for overseeing the recruitment, management, and recognition of volunteers across all FIRST Chesapeake programs. This individual will work closely with program directors, sub-district volunteer coordinators, and District Volunteer Leads to ensure a seamless and positive volunteer experience throughout the 2024-2025 season.

 

Responsibilities:

Recruitment:

  • Work collaboratively with program directors and staff to monitor the Volunteer Management System (VMS) and assign volunteers to ensure events are staffed with screened and trained volunteers.
  • Creates new volunteer pools and relationships and resources to support the training of those new volunteers.
  • Collaborate with sub-district volunteer coordinators to understand their specific needs for each event and build strong relationships to ensure effective communication.
  • Serve as the main point of contact between regional volunteer coordinators and FIRST Chesapeake.
  • Identify and engage potential volunteers for the 2024-2025 season across all FIRST programs in collaboration with up to 8 Sub-Regional Volunteer Coordinators, Onsite Event Volunteer Coordinators, and Program Directors.

 

Management:

  • Work with program directors and District Volunteer Leads to administer volunteer training as needed, including some weeknight and weekend work.
  • Coordinate with District Key Volunteers and Program Directors to manage volunteer training for Event Volunteers.
  • Coordinate with Program Directors to train Sub District Volunteer Coordinators and Event Volunteer Coordinators and support them in their role for event production.
  • Maintain accurate records of volunteer information, roles, schedules, and feedback to facilitate better coordination and future improvements.
  • Follow all guidelines outlined in FIRST data protection and privacy training.
  • Update and retain records of leads and volunteers using FIRST Chesapeake’s Data Management systems including FIRST’s Volunteer Management System.

 

Recognition:

  • Coordinate with program directors to plan and execute volunteer recognition and appreciation initiatives.
  • Work towards fostering a positive and appreciative volunteer culture within the organization.

 

Qualifications:

  • Previous experience in volunteer coordination or management.
  • Strong communication and interpersonal skills.
  • Ability to work collaboratively with diverse teams and stakeholders.
  • Familiarity with FIRST programs is a plus.
  • Proficient in using Salesforce or similar database systems.
  • Flexibility to work some weeknights and weekends during peak seasons.
